Senior Executive Assistant / Chief of Staff
Salary – Fully Remote Work From Home Role

Role
We’re hiring a Senior Executive Assistant / Chief of Staff to help drive real estate operations alongside an international executive. This is a mission-critical role that requires sharp intellect, discretion, and extreme organization. You’ll be at the heart of operations, driving priorities forward, and helping manage a high-functioning team.
Your primary goals and KPIs are:
- Coordinate task follow-through across the team
- Stay on top of urgent matters, providing timely solutions and maintaining team alignment
- Ensure effective coordination with internal teams such as legal and accounting, as well as with external institutions and clients to support smooth operations
- Oversee and organize documentation, ensuring records are properly stored and updated
Responsibilities:
- Manage task follow-up, maintaining a rigorous follow-up on all task deadlines to ensure consistent execution
- Coordinate team workflow and priorities, reviewing team tasking, leading weekly meetings, updating priorities, and ensuring deadlines and dependencies are aligned with business goals
- Assist with bookkeeping by organizing and filing financial and official documents
- Ensure internal coordination to support timely and compliant compensation for contractors and staff
- Liaise with legal, accounting, and regulatory bodies
- Visit properties once or twice per year to support on-site oversight
- Eventually support special projects by conducting research, gathering market data, coordinating in person events, and helping assemble the right teams to execute new initiatives
Requirements:
- 10+ years experience as Executive Assistant or Office Manager in an international setting
- Languages: Fluent English; highly preferred German; French and Italian a plus
- Proficient with MS Word, MS Excel, Adobe Acrobat, Dropbox, and Todoist
- Able to read a profit and loss statement and a balance sheet
- Comfortable with tracking accounts receivable and payable, and reviewing them against contracts to ensure accuracy and timely payment
- Financially literate, highly organized, detail-oriented
- Excellent communication skills (Phone, Written, Zoom)
- Real estate knowledge is highly valued to assist with preparing lease documents, reviewing insurance coverage, and coordinating rent payments
